Innovators Within, LLC is a leadership coaching practice based in Saratoga Springs, New York. This policy explains what personal information we collect through innovatorswithin.com, the Tiny Leadership Stories newsletter, and The Fireside, our private library for active coaching clients. It also explains how we use that information, who else handles it on our behalf, and the choices you have.
The short version: we collect only what we need to send you what you asked for, to reply when you write to us, and to run The Fireside for our clients. We do not run advertising, we do not use analytics trackers, and we never sell or rent your information.
What we collect and why
Newsletter. When you subscribe to Tiny Leadership Stories we ask for your first name, last name, email address, and optionally how you heard about us. We use these to deliver the newsletter and to address you by name. Subscriptions are confirmed by double opt-in, so nothing is sent until you click the confirmation link. Our email platform records whether an email was opened and which links were clicked; we use this only to understand which stories are read.
Contact form. When you write to us we ask for your name, email address, organization, and message. We use these only to reply to you.
Scheduling. If you book a conversation through our scheduling link, we receive your name, email address, and the meeting details you provide, so that we can hold the time and prepare.
The Fireside sign-in. The Fireside has no passwords. When you enter your email address we check whether it belongs to an active coaching client and, if so, send you a one-time sign-in link. Once you click it, a session cookie keeps you signed in on that browser for a limited period. We also keep the bookmarks and reading preferences you set inside The Fireside so they are there when you return.
Reporting a problem in The Fireside. If you use the “report an issue” tool, we receive your description, an optional screenshot, the page address, your browser and screen size, the site version, and your account email. Location and camera information is removed from screenshots before they are sent. We use this only to find and fix the problem.
Technical error reports. If something breaks on the site, an automated error report is generated so we can repair it. These reports do not track your browsing and your IP address is scrambled before it is stored.
We do not collect payment information through the website. Coaching engagements are invoiced separately.
Our legal basis for using your information
If you are in the United Kingdom or the European Union, the law asks us to say why we are allowed to use your information. Our reasons are these:
- Consent — for the newsletter. You can withdraw it at any time by unsubscribing.
- Performance of a contract — for The Fireside, which is part of your coaching engagement.
- Legitimate interests — for replying to your messages, keeping the site secure, and fixing errors. We have considered your interests and believe these uses are ones you would reasonably expect.
Who handles your information on our behalf
We rely on a small number of well-established service providers. Each receives only what it needs for its job, and each is bound by its own privacy and data-processing terms.
- Kit — stores our subscriber and client list and sends the newsletter.
- Resend — sends Fireside sign-in links and other one-off emails.
- Sanity — stores the content of the site and The Fireside, along with your bookmarks and reading preferences.
- Cloudways — hosts the website on servers in the United States.
- Cal.com — handles scheduling.
- Sentry — receives automated error reports, with IP addresses scrambled.
- Linear — receives issue reports submitted from The Fireside so our developer can fix them.
- Vimeo — if we embed video in The Fireside, Vimeo may set its own cookies when you play it.
A contracted developer based in the United Kingdom maintains the platform and may see personal information in the course of that work, under a written agreement with us. We do not share your information with anyone else, except where the law requires it.
Cookies
The only cookie we set ourselves is the one that keeps you signed in to The Fireside. It is essential to that service and expires after a limited period. We do not use analytics cookies, advertising cookies, or tracking pixels, and we do not track you across other websites. Because of this, we do not show a cookie consent banner; a short notice appears in the site footer instead.
How long we keep your information
- Newsletter subscribers: until you unsubscribe. Unsubscribed addresses are kept on a suppression list so we do not email you again by mistake.
- Contact form and scheduling messages: for as long as needed to respond and follow up, and no longer than two years.
- Fireside sign-in and bookmark data: for the duration of your coaching engagement. Access ends when the engagement ends, and this data is removed within twelve months after that.
- Issue and error reports: until the problem is resolved, and no longer than twelve months.
- Coaching client records: up to seven years after the engagement ends, as ordinary business records.
Where your information is stored
Our systems are based in the United States. If you are outside the United States, your information will be transferred here. Our service providers rely on recognized safeguards for these transfers, including standard contractual clauses and, where applicable, the EU-US and UK-US Data Privacy Frameworks.
Your rights and choices
You can unsubscribe from the newsletter at any time using the link at the bottom of every email. For anything else, write to us at the address below. You can ask us to:
- Tell you what personal information we hold about you.
- Correct anything that is wrong.
- Delete your information, subject to any records we are required to keep.
- Stop or limit how we use it.
- Give you a copy in a portable format.
We will respond within thirty days. We will never treat you differently for exercising these rights.
If you are in the UK or EU, you also have the right to complain to your data protection authority, though we would welcome the chance to resolve any concern with you directly first. If you are a California resident, the rights above cover what California law provides; we do not sell or share personal information for advertising and have not done so in the past twelve months.
Children
Our website and services are intended for adults. We do not knowingly collect information from anyone under eighteen.
Changes to this policy
If we change this policy in a way that matters, we will note it here and update the date at the top. If the change affects how we use information you have already given us, we will tell newsletter subscribers and Fireside members directly.
